Removing Extra Spaces
As you’ll recall from our Introduction to Styles training, unneccesary characters in documents interfere with accessibility by increasing file size, creating confusing layout for document parsers to interpret, and are rendered as longer pauses by screen readers. The video below demonstrates how to use Word’s “Find and Replace” feature to eliminate all unnecessary spaces, which show up as mid-line dots when typographical marks are showing.

After viewing the video, select a Word Document for practice. You can download Worksheet 1, or you can use your own document. If you are using your own document, upload a copy of the document before beginning Exercise 1.
Once you have uploaded your document or downloaded Worksheet 1, begin Exercise 1—Removing Extra Spaces.
Removing Typographic Marks
Now that you have practiced using “Find and Replace” with spaces, let’s use this feature for paragraph marks, as demonstrated in the video below.

After viewing the video, reopen the Word Document you used for Exercise 1. You will continue editing this document for Exercise 2—Removing Typographic Marks.
